Findings about the back office
By now we have several parties as clients who provide back office services for staffing agencies, payroll organizations and intermediaries. We also have staffing organizations that have their own back office. Time to share our findings about this market and why automation with RPA is a good solution.
By now we have several parties as clients who provide back office services for staffing agencies, payroll organizations and intermediaries. We also have staffing organizations that have their own back office. Time to share our findings about this market and why automation with RPA is a good solution.
proliferation of systems
There are many software solutions available in the staffing industry. Some focus on the front office, some more on the mid- and back office. There are good cloud solutions, but also often legacy systems that are not always easy to automate via API links. As a result, the level of automation varies greatly among the different organizations.
Even among the solutions that do link well, we see a lot of manual work. What happens is that there is often still a lot to be done within systems. You can have all the data available, but creating a placement, renewing a contract or changing wage components still requires a lot of clicking.
External systems
Besides your own systems, there are often other systems you have to work in. Examples include applying for a VOG (statement of good behavior) in the portal of Justis, reporting candidates on sick leave to an HR service provider, or completing or downloading hours worked in a client's portal.
Communication
Good communication is obviously important in any organization and this is no different in the back office. This is also where a human being distinguishes himself from robots and where added value can be provided. However, there are situations where some of the communication can be better automated. Examples include signaling an expiring contract. The question is the same every time and so are the answers in most cases. Just think about how much time you spend following up on signaling lists, reminders on unanswered e-mails and monitoring this.
Automating with RPA robots as a solution
RPA robots are your ideal colleague for all of the above tasks. Because an RPA robot works in systems like you do yourself, they are able to perform many tasks. In addition, they work quickly and flawlessly at the time you want them to. For example, you can have all alerts sent every night so that when your customers or branche employees arrive in the morning, they can review them right away.
A great example at one of our clients is a robot that processes absenteeism reports immediately and notifies the branch so the candidate can return to work sooner.
Best of all, RPA robots are strongest at the tasks that are most boring to humans, namely the jobs that you have to do often but are pretty much the same every time. We see that employees are measurably happier with their jobs when they have an RPA robot as a colleague.
Automating with RPA robots from VionA
VionA offers automation solutions as a service. This eliminates the need to invest in software and the specific knowledge required to do so. For this purpose it uses, among other technologies, RPA. It already does this for several staffing organizations and back-office service providers, giving her a good idea of the issues at hand and where the biggest savings and benefits for the organization can be found.
