Luba is the largest employment agency for SMEs. They make the fastest match between vacancy and local talent. With 50 branches across the country, they are always nearby. They are happy to call, email, call and have a cup of coffee with clients and candidates to get to know each other better.

Contract renewal and termination

As the largest employment agency for SMEs, there are dozens of contracts every day that need attention. Possible actions include extending the contract with the same conditions, extending with new conditions or terminating the contract. This process, too, is now performed entirely by VionA. It looks up which contracts require attention and asks the right branch the what to do with this contract. The email the branch receives contains buttons with the various answers, after which the robot can further modify the contract and send it to the candidate. An important, secure job that is right up VionA's alley!

Minimum wage adjustments

Every week, the robot checks which candidates are nearing their birthday because they may be affected by a new legal minimum wage. The robot first checks for each candidate whether they still have an active contract, and then asks the appropriate branch if the candidate's salary, rate or other elements need to be adjusted. Branches can communicate these in a specifically developed web form. No response? Even then, the robot follows up! First with a reminder email, but if necessary by creating an activity in the system for the back office.

Adjustments new Phase

The robot regularly checks for candidates whose current phase is about to expire. This means that action must be taken to offer these candidates a new contract in a timely manner. The robot collects all relevant information and sends it to the appropriate branch. These can then see at a glance what actions they need to take. Using a web form developed by VionA, they can easily send the response back to the robot for further processing. Of course, the robot also keeps an eye on whether a response is received and if not, it sends a reminder or creates an activity for the back office.

Match suggestions

The match suggestions process ensures that suitable vacancies are automatically suggested to candidates. VionA now does this fully automatically for Luba, with the candidate receiving an email with a job offer suitable for him/her upon a match!

Processing Mutations

Wages and rates must regularly be adjusted due to new laws and regulations or collective bargaining changes. A robot has been developed for this purpose that asks the various branches whether wages and rates need to be adjusted. VionA has created a handy form for this purpose. This information is collected centrally for quick and easy processing. The robot then logs in and processes the changes in the contracts. Handy!

Employee back from sick leave

When a temporary worker is better again, they need to be scheduled back on a job as soon as possible. Previously, an external absenteeism service sent an e-mail to the back office when a temporary worker was better, after which the back office had to process the information in the system and inform the correct branch. With the new robot, this happens fully automatically, which means one less boring job for the back office and also means that the employee can get back to work even faster.
