Converting and invoicing orders

Before Easy2Send arranges transportation for their customers, they must first send an invoice to the customer. Previously, Easy2Send had to manually enter all invoice information, such as address, pricing and order number, into a TMS (Transportation Management System). Then the payment link was sent and they had to update the order status in the original system.

With VionA's RPA robot, all these steps are now automated. An RPA robot retrieves the order, including all necessary information, and logs into the TMS. The robot automatically fills in all the data and sends the invoice. Then the robot converts the order status into the original system.

This automation not only saves Easy2Send time and costs, but also ensures that customers receive a payment request in their mailbox in no time.

Convert payment status

After the customer pays the invoice, Easy2Send receives an email payment confirmation. Previously, Easy2Send had to track their mailbox to check which customers had paid and then manually change the status to "invoice paid" in their system. Thanks to VionA's RPA robot, this process is now fully automated.

When the payment confirmation arrives, a mail trigger automatically triggers the RPA robot. The robot retrieves the customer number from the email and looks up the customer in the TMS to update the payment status.

This simple automation eliminates the need for Easy2Send to constantly check their mailbox and ensures that all paid orders are processed directly into the system.
